2. Collection, Processing, and Use of Personal Data
Personal data refers to details concerning the factual or personal circumstances of a specific or identifiable natural person. This includes, for example, your name, phone number, address, as well as all stored data you provide to us when signing up for newsletters or booking a stay.
2.1 Collection, Processing, and Use of Your Personal Data
We collect, store, and process your data for the complete handling of your booking, including any subsequent services related to our offerings (for example: ‘Digital Guest’), technical administration, our own marketing purposes (more information on this under section 2.2), and to prevent criminal acts and fraud. Your personal data is only passed on to third parties to the extent permitted by law, including for the fulfilment of agreements or billing, for marketing purposes, or if you have consented to this in advance. As part of the booking process, the service providers used by us (such as booking portals, gift card providers, and payment services) receive the data necessary to process orders and bookings. The data shared in this way may only be used by our service providers to fulfil their tasks in this context.
2.2 Use of Your Data for Advertising Purposes
In addition to processing your data to handle your purchase at Hotel Phønix Aalborg, we also use your data for the following purposes: to continuously improve your shopping experience and make it user-friendly and personalised; to communicate with you about your bookings and about specific products or marketing campaigns; and to recommend products or services that may be of interest to you.
For this purpose, we use available information such as email delivery and read confirmations, information about the device you use, your internet connection, operating system and platform, date and time of website visits, products you have viewed, and information you have provided to us (including automatically transmitted or generated information). We may also use your booking history.
You may at any time, in whole or in part, object to the use of your personal data for advertising purposes, without incurring any costs beyond those at the standard rate. A written notice using the contact details mentioned under Section 1 (e.g. email or letter) is sufficient.
2.2.1 Newsletter
To send the newsletter, we use the email address you have provided, and require confirmation that you, as the holder of the email address, agree to receive it.
Should you later no longer wish to receive newsletters from us, you may unsubscribe at any time without incurring any costs beyond those at the standard rate. A written notice using the contact details mentioned under Section 1 (e.g. email, fax, letter) is sufficient. You will of course also find an unsubscribe link in every newsletter.
2.2.2 Banner Advertising
We also use the information collected during your visit to display so-called banner advertisements. These are advertisements that we place on third-party websites. This is most commonly done using so-called cookies or pixels. Our aim is to make the advertising offering more relevant and interesting, and therefore in connection with banner advertising you will primarily see products you have already viewed on our site, or products similar to those you have viewed (so-called retargeting). As part of banner advertising, we work exclusively with anonymous data; personal information in plain text (e.g. your name or email address) is not stored in cookies.
Further information about cookies, pixels, and retargeting can be found under Sections 4 and 7 of these provisions.
2.2.3 Competitions
In the case of competitions, we use your data to notify you of prizes and to advertise our offers. Detailed information can be found in the terms and conditions of participation for the relevant competition.
3. Cookies
Accepting cookies is not a prerequisite for visiting our websites. However, please note that our website and services have limited functionality if you do not allow us to place cookies.
What are cookies?
Cookies are small files stored on your hard drive that save certain settings and information for exchange with our system via your browser. There are essentially two types of cookies: so-called session cookies, which are deleted as soon as you close your browser, and temporary/permanent cookies, which are stored on your hard drive for a longer period or indefinitely. This storage helps us tailor our websites and offerings to you accordingly, and makes your experience easier, as certain information you have entered is saved so you do not have to repeat it every time.
Which cookies does Hotel Phønix Aalborg use?
Most of the cookies we use are automatically deleted after your browser session ends (hence the name session cookies). Session cookies are required, for example, to offer you the booking function across multiple pages. We also use cookies that remain on your hard drive. On a subsequent visit, it is automatically recognised that you have been with us before, and which settings and preferences you favour. These temporary or permanent cookies (with a lifespan of 1 month up to 10 years) are stored on your hard drive and delete themselves after the set period. These cookies in particular are used to make our offering more user-friendly, efficient, and secure. Thanks to these files, it is possible, for example, for you to receive information on the site that is specifically tailored to your interests. The sole purpose of these cookies is to adapt our offering as closely as possible to your needs and to make your browsing experience on our site as pleasant as possible.
What information is stored in cookies?
The cookies used by Hotel Phønix Aalborg store only pseudonymous information. When a cookie is activated, it is assigned an identification number, and your personal data is not associated with this identification number. Your name, IP address, or similar data that could allow a direct link between this cookie and you is not stored in the cookie. Based on cookie technology, we receive only pseudonymised information, for example about which pages on our website are visited, which products are viewed, etc.
Are there also cookies from third-party providers (so-called third-party cookies)?
Hotel Phønix Aalborg uses a number of advertising partners who help make the online offering and websites more interesting for you. Therefore, when visiting the websites, cookies from partner companies are also stored on your hard drive. These are temporary/permanent cookies that are automatically deleted after the set period. These temporary or permanent cookies (with a lifespan of 14 days up to 10 years) are stored on your hard drive and delete themselves after the set period. Cookies from our partner companies also contain only pseudonymous data — for example, data about which products you have viewed, whether a purchase was made, which products were searched for, etc. Some of our advertising partners also record, via the websites, which pages you previously visited or which products you showed interest in, in order to be able to show you advertising that best matches your interests.
Retargeting
Our websites use so-called retargeting technologies. We use these technologies to make the online offering more interesting for you. This technique makes it possible to target users who have already shown interest in our website and products with advertising on our partners’ websites. We are convinced that displaying a user-tailored, interest-based advertisement is generally more interesting for the internet user than advertisements without such a personal reference. These advertising materials are displayed on our partners’ websites based on cookie technology and an analysis of previous user behaviour. This form of advertising takes place entirely in pseudonymous form.
By using our site, cookies are placed and information about you is thereby collected, stored, and used. Furthermore, your information is stored in cookies after your browser session ends and can be retrieved, for example, on your next visit to the website.
How can you prevent cookies from being stored?
In your browser, you can configure it to only accept cookies if you give your consent, thereby preventing further cookies from being placed in the future. If you only wish to accept Hotel Phønix Aalborg’s cookies but not those from our service providers and partners, you can select the “Block third-party cookies” setting in your browser.
In general, you can find out how to decline new cookies and disable cookies already received via the help function in your web browser’s menu bar.
4. Log Files
Each time Hotel Phønix Aalborg’s pages are accessed, data about the usage is transmitted via the relevant internet browser and stored in protocol files, the so-called server log files. The data records stored in this way contain the following data: date and time of access, name of the page accessed, IP address, referrer URL (the originating URL from which you arrived at the website), the amount of data transferred, and product and version information for the browser used. We analyse these log file records to further improve and make our offering and the Hotel Phønix Aalborg shop more user-friendly, to find and resolve errors more quickly, and to manage server capacity. We also use the log file records to defend against attacks on our Hotel Phønix Aalborg website, for example in the form of so-called Distributed Denial of Service attacks, which aim to block access to our website by overloading it with requests.
5. Web Analytics
To continuously improve and optimise our offering, we use so-called tracking technologies. For this purpose, we use the services of Google Analytics.
5.1 Google Analytics
This website uses Google (Universal) Analytics, a web analytics service provided by Google Inc. (www.google.com). Google (Universal) Analytics uses methods that enable analysis of your use of the website, such as so-called “cookies” — text files stored on your computer. The information generated about your use of this website is generally transferred to a server at Google in the USA and stored there. Due to the activation of IP anonymisation on this website, your IP address is shortened prior to transmission within the member states of the European Union or in other signatory states to the Agreement on the European Economic Area. Only in exceptional cases is the full IP address transferred to a Google server in the USA and shortened there. The anonymised IP address transmitted by your browser as part of Google Analytics is not combined with other data held by Google.
You can prevent the recording of the data generated by this cookie relating to your use of the website (including your IP address) by Google, as well as the processing of this data by Google, by downloading and installing the browser plugin available at the following link: http://tools.google.com/dlpage/gaoptout?hl=en.
6. Retargeting and Data Collection via Third Parties for Banner Advertising
As part of retargeting and banner advertising, we use services from third parties that place cookies on our site. These providers are as follows:
Doubleclick by Google, Google Inc., 1600 Amphitheatre Parkway, Mountain View, CA 94043, USA; https://www.google.com/intl/en/policies/technologies/ads/
Facebook Inc., 1601 S. California Ave, Palo Alto, CA 94304, USA; https://www.facebook.com/about/privacy
7. Secure Data Transfer
Your personal data is transmitted securely via encryption. This applies, of course, to your booking and to newsletter sign-ups as well. We use the SSL (Secure Socket Layer) encryption system.
In addition, we secure our websites and other systems through technical and organisational measures against loss, destruction, or unauthorised access, modification, or dissemination of your data by unauthorised persons.
